Three-hour sessions in person at the client's office. Between sessions, AI Master Lab experts work on the solution within the client's team.

Presentation of Results

To close – a summary and presentation of the results. The client's team builds its own in-house know-how in AI.

The problem

Preparing bids from procurement specifications and technical documents took a great deal of time – the process was manual and resource-intensive.

What we did

We built a proof of concept – an AI solution that reads the procurement requirements, matches them against the database of products held in the warehouse and prepares the bid.

The result

80% of the bid is now prepared automatically. The team validates and adds to it – rather than building it from scratch. Requirements for developing the solution further were identified.

Why do most AI projects stop at the pilot and never reach scale?

Usually what's missing isn't the technology, but a clear path from PoC to everyday use — who owns maintenance, how the solution gets integrated into existing processes, and how the real return gets measured. That transition is exactly what we work on — from the first idea to the point where the solution runs across the whole organisation.

Do we need our own AI or data specialists on the team to take part?

No. We work alongside your existing team — AI Master Lab experts lead the AI adoption sprints for your team and work together with them on the solution between sessions. The knowledge to maintain and develop the solution stays with your team once the programme ends.

How expensive is AI adoption, and will it pay off?

We start with a small, measurable investment — idea validation and a PoC cost from €5,000 and take up to a month. At every stage we weigh cost against expected return before moving to the next one, so the decision to build an MVP or scale is made with a clear view of ROI, not because "everyone else is doing it."

What about data security and privacy when working with our internal data?

We build solutions working directly with your organisation's data and processes, so data security is part of every step — from the PoC's architecture choices to the scaling plan. We go through the specific security and compliance requirements already in the preparation session.

If a solution works as a pilot, will it actually work across the whole organisation?

That's exactly why the process is split into stages. The PoC shows the idea works; the MVP shows it creates real value with the minimum functionality needed; the scaling stage adapts the solution for multiple teams and everyday load — rather than trying to build everything at once.

How long does the process take, from idea to a working pilot?

Idea validation and a PoC usually take 2–3 sprints, or up to a month. If the idea holds up, MVP development takes 3–5 sprints, or up to 2 months. Scaling timelines vary depending on how many AI Master Lab experts are involved and the solution's complexity.

What happens if one of the ideas we validate turns out to be technically or financially not worth it?

You lose less than you would if you started with full development right away. That's exactly why the process starts with a cheaper validation stage — if an idea doesn't hold up, we stop there instead of after a much bigger investment in a finished solution.

Do you have experience in our industry?

It's teamwork: you know your industry and everyday processes, we know AI's possibilities and how to apply them; every programme is built by combining both, not by imposing a ready-made technical solution.
